Elan provides a comprehensive, yet simple, enrollment process, designed to be a streamlined enrollment process that makes PayCard issuance almost seamless and indistinguishable from your current Direct Deposit process, and an employee / cardholder education and sign-up program that will maximize participation and satisfaction.
Card Type – Elan offer two types each of cards and processes under the PayCard program:
• ATM cards that require a PIN to validate the cardholder’s identity with access to ATMs and merchant locations that are equipped to accept PIN based cards.
• A general-purpose card that is MasterCard branded which provides access to ATMs and merchant/retail locations that accept the MasterCard brand. These cards require a signature to validate the cardholder.
• Instant Issue PayCards are physically handed to the cardholder at the time of enrollment. Instant Issue is available for PIN cards only. These cards are not embossed (raised and printed) with the Cardholder’s name.
• Mailed Cards are PayCards that are mailed directly to the Employee - either ATM cards or branded cards. These cards are embossed with the Cardholder’s name. Branded MasterCards must be mailed, and can be mailed only to the employee.
There are
Cardholder Enrollment - There are several options for enrolling cardholders, depending upon the form of issuance. While the primary ones are listed here, we are quite flexible in this area and will work to design a process that works most efficiently for you.
• One-Step Enrollment – Elan has designed its Enrollment Process using a simple “one-step” form to facilitate Employee Enrollment. The Employee simply needs to complete the easy-to-use form (Name, address, date of birth, Tax ID Number, etc.). This form may serve as both the Employee’s PayCard Enrollment as well as Deposit Authorization. The employee may have their pay split between Direct Deposit and a PayCard, or between two or more PayCards. Elan also provides two options for to capture Direct Deposit data for entry into HR systems - 1) use own Direct Deposit Authorization and process, or 2) use the Elan One-Step Enrollment Form, and have that input as Direct Deposit is today.
• Cardholder Data Entry – Elan also provides three easy options for entry of Employee information into the Elan database: 1) Access via PayCardConnect – use PayCardConnect, Elan’s web-enabled, browser-based gateway, to enter Employee information - useful for direct input of employee records; 2) Specialty Card File / XML Interface – use your own HR system information to enter employee data - to facilitate this process, Elan provides a “Specialty Card File” (SCF) bulk file transfer method that uses file transfer protocol (FTP) and is particularly useful if employee/cardholder data is already resident in electronic form (the SCF allows the extraction of cardholder data from one database, building of the SCF file and electronically, and transfer of the cardholder data in SCF format via FTP, thus eliminating the need to manually enter cardholder data one record at a time into Elan Connect), which also allows cardholder enrollment on a “real-time” basis; or 3) Elan Data Entry – To completely eliminate involvement in entering employee data into Elan, Enrollment Forms or Spreadsheets can be faxed or mailed directly to Elan, and Elan can process the Cardholder Enrollment onto its system.
Employee Enrollment Support – Because each potential cardholder base is different, Elan has developed an Enrollment Support Program designed to maximize participation and satisfaction while tailoring the Program to meet specific requirements. Most elements of the Enrollment Support Program are produced in both English and Spanish, and all are available at your option. You can order any of these items from Elan, or develop them itself. Elan is also prepared to provide additional support upon request, including on-site support during the launch, as you may feel necessary to insure a successful program launch.
Simple One-Step Enrollment – As described above, the required form is designed to make Employee participation as easy as possible.
Enrollment Video – Elan can provide a video which describes clearly to payees the value and money-saving benefits of the PayCard.
PayCard Use Guide – A special comprehensive guide, that shows employees step-by-step how to use their PayCard at the ATM, to buy items or obtain cash-back at the POS, and to use the telephone and Internet functions.
PayCard Register – Elan can provide employees with a handy register that will allow them to easily track their PayCard transactions and balance.
